Your privacy on Scoopwise

Your employer uses Scoopwise to run their ice cream truck business. You use it to log sales and clock in and out.

This notice explains what Scoopwise records about you, who can see it, and what you can do about it. Please read it before you start.

The short version

  • Your employer can see when you worked and what you sold. That’s what the app is for.
  • We do not track your location. The app has no GPS tracking.
  • Your employer sets your pay rate in the app, and can correct your recorded hours.
  • Your employer decides what happens to this information. We only hold it for them.
  • Your work history stays with your employer’s business records even after you leave.

Who is who

Your employer runs the business and decides what information goes into Scoopwise and how it’s used. If you have a question about your hours, your pay, or your records, ask them first — they control it.

Scoopwise (Wanderverse Studios LLC, a Florida company) makes the software. We store and process this information on your employer’s behalf. We don’t decide how your employer uses it.

What we record about you

Who you are

  • Your name and email address
  • Your role (driver, manager, or owner) and which trucks you’re assigned to

Your work

  • When you clock in and clock out, and the shifts you work
  • The sales you log — what was sold, when, and how much
  • The app has fields for a stop name (like “Elm Street Park”) and for estimated miles, typed in by hand. Today, nothing in the app fills either one in.

Your pay setup

  • Your pay rate — hourly, commission, a flat amount, or a mix

We store your pay rate, and the app works out what your hours and sales come to at that rate — those are the labor-cost figures your employer sees. Scoopwise does not run payroll: it never withholds taxes, never pays you, and never moves money. Your employer pays you outside this app, however they normally do.

Technical background

Like almost any online service, the companies that host Scoopwise keep routine server logs — your device’s internet address (IP), device and browser type, and timestamps — used for security and to keep the app running. More about this is in our full privacy policy, linked at the bottom.

What it’s used for

Your employer uses this information to run their business — to see how a day went, work out what sold, plan stock and routes, and work out labor costs. The app also uses it to produce suggestions for the business, like which stops did best or how much to restock.

We use it to provide and improve the app. We don’t sell it, we don’t use it for advertising, and we never show your information to another business for its own use. If we ever combine data from many businesses to improve the app, it will only be as anonymous totals that can’t be traced back to you or your employer.

What we do NOT record

We want to be specific about this, because people reasonably assume otherwise:

  • ❌ No location tracking. No GPS. The app does not ask for location permission and does not record where you are or where you’ve been. Stop names are only what someone types in by hand, and mileage is only what someone enters manually.
  • ❌ No bank account or card details about you
  • ❌ No Social Security number, date of birth, or home address
  • ❌ No phone number
  • ❌ No photos, audio, or video
  • ❌ No password — you sign in with Apple, Google, or a one-time emailed code
  • ❌ No information from anyone under 13 — Scoopwise is a work tool, not for children, and we don’t knowingly collect information from anyone under 13. (Who may legally work is your employer’s responsibility — the app doesn’t decide or check that.)

Who can see it

Your employer — the owners and managers of your business. They can see your name and email, your shifts and hours, the sales you logged, and your pay rate. They can also see reports that combine this into labor cost and profit figures.

Your coworkers, partly. Other people at your business can see your name and email address. If you share a truck with someone, they can see the sales logged on that truck, including which were yours.

Other businesses using Scoopwise: never. Businesses are separated in our system. Another ice cream business cannot see you, your employer, or anything about your work. The most another business could ever see is anonymous, combined statistics that can’t be traced to you or your employer.

Companies that help us run the app. We use service providers for our database and sign-in, syncing your phone, and hosting. They only process information to keep the app running. A current list is available on request.

Your employer can correct your recorded hours

If a punch is missed or wrong, a manager can add, change, or remove a recorded shift. The app keeps a record of the original entry and the change, so nothing is silently overwritten.

The app does not notify you when this happens, and the driver app does not show you a timesheet. If your hours matter to your pay — and they usually do — check them with your employer directly.

Working offline

The app is built to work with no signal. Sales you log go into your phone and upload when you reconnect. Until then, they sit on your device.

How long it’s kept, and what happens when you leave

Your employer keeps their business records for as long as they need them — that’s normal for sales and payroll records, and some records they’re legally required to keep.

When your employer removes you from their business:

  • You lose access to the app for that business right away.
  • You also lose access to your own past hours and pay information. If you want a copy, get it before you leave, or ask your employer for it.
  • Your work history stays in your employer’s records. Their sales and hours reports still need to add up for the periods you worked.
  • What’s already on your phone stays on your phone. Being removed doesn’t erase the app’s data from your device, and signing out clears it only once everything has finished uploading — anything not yet uploaded is kept so it isn’t lost. Deleting the app is the sure way to clear your device.

If your employer closes their whole Scoopwise account, their business data is deleted after a recovery period.

Your choices and your rights

Start with your employer. They control this information. Most questions — about your hours, your pay rate, your records, or getting a copy — should go to them.

You can also contact us at the address below. We’ll help where we can, but for information that belongs to your employer’s business, we will usually direct you to them, and we may need their instruction before we act.

Depending on where you live, you may have rights to see, correct, or ask for deletion of information about you. Deleting your account is something you can do yourself, in the app — see below. For seeing or correcting anything else, contact us or your employer and we’ll walk through it by hand.

You can delete your Scoopwise account yourself. In the app, open Account, then choose Delete account.

  • If you’re still on an employer’s team, the app will ask for you to be taken off the team first, and it will tell you who can do that: drivers ask their manager, managers ask an owner, and owners remove or hand over their crew. Then delete your account. This protects the business records you were part of.
  • Deleting disables your account right away and starts a 30-day countdown. Changed your mind? Sign back in within 30 days and tap Restore — you pick up exactly where you left off.
  • After 30 days, your sign-in and your personal details are permanently erased, usually within a day after the countdown ends.
  • During the countdown you can also choose “Delete permanently now” — that skips the wait and cannot be undone. Anything on your phone that hasn’t uploaded yet is discarded when you delete permanently.
  • What deleting does not erase: the work you did for your employer. Sales you logged and shifts you worked stay in their business records — those are their sales and payroll figures — but your name on them becomes “Deleted user.” The email address on your original invite also stays in their records. (If you own the business alone, there is no separate employer: deleting your account deletes the whole business, and those records go with it.)

If things change

If we start collecting something new — location, for example — we will update this notice and your employer will be told before it happens. Nothing in this notice is a promise about a future version of the app; it describes the app as it works today.
